How Far in Advance Should You Plan and Order?

Lead times will depend on:

Whether you are ordering custom printed lanyards or plain lanyards. Plain lanyards are already in stock and may have a delay of 2-3 days if we are out of stock. Customised printed lanyards usually take 7-14 business days to create.

Whether your badges will be pre-printed or printed on demand

Shipping times to your city. We can deliver anywhere in Johannesburg, which usually takes 2-3 business days. If you are in the surrounding areas in South Africa, then it could be (2-5 business days), depending on where you are in the country.
As a general guide, this timeline works well for most conferences, school events, sports events, and expos.
8–12 weeks before the event: numbers and concept
At this stage, you don’t need final names yet, but you do need:

An estimated headcount of how many will attend.

Categories of attendees (staff, VIP, speakers, exhibitors, students, teams, etc.)

A decision on colour coding (for example, red for staff, green for visitors)
You also decide whether you want:

This is also the right time to confirm your budget and rough quantities.
6–8 weeks before the event: artwork and approvals
Here you create or finalise the artwork for:

The lanyard print. Please ask us for the artwork guidelines for this.

The card layout. Please provide your artwork as requested.

Any sponsor logos that must appear.
Keeping branding consistent with your existing cards and marketing helps everything look more professional. If you are already working on cards with special finishes or carefully matched colours, your event branding can mirror that.

4–6 weeks before the event: production and delivery
For custom-printed lanyards, this is usually when production runs. Custom satin lanyards with your logo repeat print need time for setup, printing and quality control.
Here you will be given a quotation which you can approve by payment. We will then proceed with the order.
At this stage, you should:

Confirm final quantities with a small buffer.

Confirm how many different colours or designs you need (for example, one design for staff, another for exhibitors).

Purchase your cardholders and pouches so you are not scrambling in the last week.
If your cards are being pre-printed with names, they may also go into production here, or slightly later, depending on how close to the event you can finalise attendee lists. We will only continue with production once we have payment in full and the attendee list intact.
2–3 weeks before the event: packing and sorting
By now, all your printed lanyards and name badges should be:

Checked for quality

Counted and matched with your registration list
This is the time to:

Insert cards into card holders or pouches.

Attach lanyards. Let us know if you'd like us to do this; we can assemble anything you may need us to do, including putting the cards in the cardholders or pouches. Adding any clips you may need to the lanyards and adding cardholders to your lanyards so that everything is ready for your event without you having to do anything. Sorting and boxing them (by surname, company, grade, team, or role)
Do this before your attendees arrive. It is much easier to sort everything calmly at a table in your office than under pressure at the registration desk.

What Details Should Go on the Card?

A name badge should be easy to read from a short distance and fast to scan if you are using barcodes or QR codes. It should also support security and access control without cluttering the layout.

Conferences and expos
For business events, we recommend:
